You can ask us at any time what information we hold about you and request its correction or erasure.

Privacy by design and data minimisation

• We ask for the smallest amount of information needed for the current step, and nothing in advance of needing it.
• Web forms are designed for contact details and a short description only. Clinical information is discussed in appointments.
• We do not use personal data for marketing, profiling or automated decision-making.
• Special categories of data, including health data, are processed only where there is a lawful basis and within patient record systems, not in website forms or ordinary email.

Current state of the website forms

A secure system for receiving messages has not been connected yet. Until it is, the enquiry and appointment request forms validate your entries in your browser only: nothing is transmitted to us and nothing is stored. The forms offer a prefilled email as an alternative, which you send from your own email client.

This section will be rewritten when a secure backend is in place, describing the storage location, retention period, processors and safeguards in detail.

What we collect when you contact us

• Your name and the contact details you give us.
• The service area your enquiry concerns and the short description you write.
• Your language preference and any interpreter or accessibility needs you tell us about.

Purpose and lawful basis

Enquiry details are used to reply to you, to carry out a suitability review and to arrange an appointment. The basis is your consent for the initial contact and, once care begins, the statutory obligations that apply to healthcare providers and patient records in Finland.

Retention

Enquiries that do not lead to care will be kept only as long as needed to handle them and then deleted. Patient records are retained for the periods required by Finnish legislation. Exact periods will be stated here once the record system and controller details are confirmed.

Your rights

• Access to your personal data and to your patient records.
• Correction of inaccurate data.
• Withdrawal of consent where processing is based on consent.
• Restriction of or objection to processing in the situations set out in data protection law.
• The right to lodge a complaint with the Finnish Data Protection Ombudsman.
